How to Combine All Email Replies that Respond to One Subject

Reader question: Is there a way to combine all Emails that respond to one subject. As an example, I would send an Email to many of my friends. Each of them would answer their replies, some would include reply to a specific message, others may have individual replies.

I would want to summarize the complete email conversation and send it to all who replied. How do I achieve this in Gmail? asked by Sy Weiss

Interesting question. Gmail lets you reply to all the recipients by using to “Reply to all” link but there seems to be no way to combine all the emails which respond to a specific subject. But here is an easy way to achieve it:

1. Log in to your Gmail account, select the email message and click “Expand All”

2. This will expand all the replies of that email message. To combine then, click “Save page as” from the file menu

save-email-as-webpage

3. This will save an Offline copy of the email message in your computer (as a web document). To preview the offline copy of the complete email conversation, you might have to use “offline mode” for the browser or else the messages might not load.

4. Open the browser and select “Work offline” from the File menu. Then open the document which you saved in step 2.

That’s it, you have just combined all the email replies at one place.

Now you may compose a new email message, attach the HTML file and send it to all the persons who replied to your message. The recipients can read all the email replies at one place and you don’t have to copy the replies one by one, paste it and send to individual recipients.

Another good idea will be to upload the file in any file sharing service like Filedropper and send the link to anyone with whom you want to share the email conversation.

Convert an Email Conversation to PDF

One drawback of the above method is when you load the offline copy of the email in your browser, the page keeps flashing all over. This is because of scripts and other dynamic codes used by Gmail.

We look into an alternative way to download an entire email message and convert it into PDF format so that it can be sent to all the recipients without having to copy and paste individual messages.

1. Download PrimoPDF and install the application in Windows –works with Windows XP, Windows Vista and Windows7.

2. Once installed, open the Email message from the browser and expand all the replies.

3. Then select “Print” from the file menu ( Hit Ctrl + P)

4. This will open a pop up window where you have to select the PrimopPdf printer application

5. Hit ok and Primopdf utility will launch. Select the “ebook” format and hit “Create PDF”. Your entire email message thread will be saved as a PDF file in your computer.

save-email-pdf

This is how a preview of the PDF file will look, once you open it with Adobe acrobat.

Now you can attach this PDF file which contains all the email replies to an email message and send to all the people who replied to your email. All the recipients can read each others replies and it’s a great way to archive a conversation, read it offline or forward the discussion to all the members.
