This might be a pain unless you have the right tools to manage the task. Hopefully there are some solutions you'll find on this article.

Effectively Manage Software Updates on Multiple Computers originally published on Ampercent

While keeping software consistent across multiple computers may not seem like such a problem if you are responsible for only a few systems, if you manage any more than about five, you undoubtedly know how large a task this can turn into. Luckily there are several solutions that, depending on the number of computers you currently manage, can help you get the right software updates to the right systems at the right time.

Home Networks

If you manage a home or personal network, automating your software updates can help you save time and system resources. If every computer takes the time to download patches, security fixes, and similar updates, this may lead to a bandwidth bottleneck. Additionally, if some of your computers at home are not connected to the internet, you may need to set up an offline solution to get updates to these machines.

A program called Personal Software Inspector is a fully featured software updater for home users. This application undertakes a deep scan of your system to let you know when you have out-of-date software or titles that may be a risk to security. It works by looking at any executable files on your computer and comparing them to their own database.

Something else you might consider is RadarSync Updater. This little program will inspect your device drivers to let you know when they are out of date. When you find one that needs replacing, you can download it directly (from the premium version) or type it into Google (with the free version).

Enterprise Solutions

While these programs are good fixes for home users, IT professionals who work for both large and small businesses will likely need a solution that is a little more robust. In this case, Dell KACE’s software distribution appliances are a good option.

This appliance allows IT managers to effectively deploy software and operating systems across large networks. The technology offers a huge amount of control over when and where applications are deployed, and it also provides regular BIOS and device driver updates for Dell client and server systems. Deployment time can be drastically reduced, giving IT professionals more time to work on other projects.

Keeping software current does not have to be a completely arduous task. Whether you manage 10 computers or 10,000, managing software updates across multiple systems is a matter of choosing the right tools to assist in your task.

This is a guest post from David Malmborg. However having a team means a multitude of tasks at hand, more confusions and more chances of a failed task. You need the right skills and the right tools to avoid all of that. There are great event tracking tools and collaboration tools, but when it comes to a complete tool comprising both, choices are a little less. Comindware Task Manager (CTM) intends to bridge the gap. Let us see some key features that can make the tool an essential choice.

1. Universal Support And Interactive UI:

Microsoft Outlook is one of the most used task creation tools and CTM provides support for it. So you can use Outlook to create and edit any task for CTM. The tool also promises to have support for other tools too.

The tool is based on semantic technology and offers Microsoft alike ribbon-based interface making it a easy-to-use tool for any Windows user.

2. Creation, Management & Collaboration:

Being a standalone Task Manager you can use CTM to create tasks with an unlimited hierarchy. Once created the tasks can be assigned to people and also their roles can be defined based on the actions they can perform on the task. Workspaces is an important feature you can use to define the access rules. This feature offers better accountability.

The task at hand can be managed and worked upon by a team. This elevates the productivity level for the team. Team leaders can better monitor the progress, time spent, cost for the project/task ensuring the successful execution of the task.

Scheduling tasks with a calendar view and notifications help reduce the chances of a failed task.

3. Economic Solution:

The tool offers a variety of useful features to make the job easier for you. However, the price you pay for all of this is nothing. So practically you lose nothing to use it and hence makes it more of an opportunity to have this event tracking tool for your organisation or just for personal use.

The tool is yet to be available for users, but you can pre-register for a free copy by filling up the form here. For more information on the features and benefits of this tool head over to the task management tool’s homepage.

Andrew Carnegie once remarked, ”No man will make a great leader who wants to do it all himself, or to get all the credit for doing it”. True to its last word, many is better than one. A team effort can do wonders if the team can plan and collaborate on tasks in an efficient way. Comindware Task Manager is tool that can help you yield better results with your team. Give it shot and see for yourself if it meets your demands.

Comindware Task Manager: A Complete Event Management Solution For Windows originally published on Ampercent

5 Gmail Labs Features Worth Taking The Time To Try Out

Internet

Feature

Gmail

Google Labs

Productivity

Google’s sure got it going on when it comes to innovation. Quote Selected Text

Have you ever wanted to reply to an email while referring to something said within the email? Now Gmail has a Labs feature that makes quoting from an email super easy. Just highlight the portion you want to quote, and hit the reply button and the highlighted text is automatically quoted in your reply.

2. Quick Links

If you are like me you probably get sick of extra clicks and searches that you do over and over, day in and day out. Now, with the use of the quick links Gmail Labs feature, you can save some of your most used searches places and link directly to them. Simply enable the feature, head to your frequently visited location within Gmail, and click Add Quick Link. Easy as pie.

3. Green Robot

Do you ever use Google Talk to chat with your contacts? When you see them online, do you ever wonder if they are on a computer or their Android phone? With the Green Robot Gmail Labs featured enabled, the common indication circle becomes a little robot when they are on their phone. Simple yet handy.

4. Picasa and Flickr Previews in mail

These are actually two separate Gmail Labs features but I’ve combined them into one because they basically do the same thing only with different online photo sites. Once enabled, these Labs features will take links from Picasa or Flickr found in an email message and show a preview of them within Gmail. It will actually display a list of photos if several links are found.

5. Unread Message Icon

Normally if you keep your Gmail inbox tab open and are browsing on another tab, all you see is the read envelope icon next to the tab label. If you enable the Unread Message Icon Labs feature, it will also embed a small number indicating the number of unread messages in your Gmail account. This is helpful if you like to keep track of when new email arrives.

Keeping a close eye on newly released Gmail Labs features may just help you find a golden nugget that will dramatically help you in your email endeavors. Remember that Gmail Labs is actually a testing grounds for new features and that while many of the good features could be here to stay, others may not always work properly or may even eventually disappear.

Which Gmail Labs features do you find yourself using on a consistent basis?

5 Gmail Labs Features Worth Taking The Time To Try Out originally published on Ampercent

MS Office + Google Docs = Seamless, Simultaneous And Powerful Collaboration

Productivity

Feature

Google Docs

Google Cloud Connect for Microsoft Office is now officially available worldwide. With this new feature you can enjoy the powerful document editing interface of Microsoft Office combined with the portability and collaboration powered by Google Docs. This makes a versatile combination of two leading tools providing users a handy yet portable solution for their collaborating needs. Now that it is for you to choose it or not, let us take a quick look at it.

[WHAT] Intro For Google Cloud Connect For MS Office

The technology is supposedly powered by DocVerse a service Google acquired back in 2010. It enables MS Office users to share and edit their Word, Powerpoint and Excel documents seamlessly and simultaneously with any number of users they want without leaving the comfort of the MS Office interface.

[WHY] Cloud Connect For Collaborators

MS Office has been there for quite long and it is one of the most widely used document editing tool of present times. Professionals use this tool for all sorts of official documentation including presentations, text documents, spreadsheets and many more. However in most cases while working on a same document needs them to collaborate with their team. Until now they had to pass necessary info among themselves to and fro via email or other storage devices. Or the worst case, they had to be physically present while the drafts were edited. Both of these methods are now outdated.

On the other hand Google Docs offers a strong document editing platform letting users create (and edit) their documents online. Being online made it easier to share information and collaborate on others ideas simultaneously or at their convenience. The only downside of this service is that it is yet to be considered as good as MS Office as a document editing tool.

Now that Google Cloud Connect for Microsoft Office is here, you can enjoy the best of both worlds. Doesn’t that already make you feel better?

[HOW] Integrate Google Docs With MS Office aka The CLOUD CONNECT

To experience the beauty of cloud connect, all you need to do is download and install a simple plugin for MS Office and then connect it to your Google Account. Everything else is taken care of. The Microsoft Office documents can then be synced with the cloud automatically or manually with a press of a button. You can make edits to your MS Office documents from within the MS Office interface without needing to open Google Docs anymore. Or you and your colleague won’t need to stay late at office to complete the project at hand. Another goodie about cloud connect is that you can also edit the documents offline. All the changes you make will be synced with the document on the cloud as you go online. There are many other features that make this tool a perfect winner as a powerful collaboration tool. Check the following video to know more about it.

This new service definitely takes collaboration to a new level as you no more need to use Google Docs to create documents or use your email to share information you and your partner need to include in your MS Office documents. Enjoy the versatility of the Microsoft Office editing interface along with the seamless Google Cloud sharing. Currently you have support for Word, Excel and Powerpoint documents for Office 2003, 2007 and 2010. Microsoft Office being a paid tool, I would love the idea of a similar Cloud Connect for OpenOffice suite which also offers MS-Office-alike document editing interface and is free. Two reasons.

The first reason is that RSS feeds are not time critical. You remain offline for 2 weeks but the “Reading list” will continue gathering new blog posts from the time you left off. When you are back from a vacation – simply open your RSS reader and you have all the blog posts waiting to be read from the time when you left off.

Organization is not only important, it’s critical in terms of productivity.

Twitter is just the opposite – it’s more of a real time system of information flowing from one corner to another, which bloggers and readers try to intercept. Only a handful of them are successful, while most of the people struggle to keep up with all the information shared on the Twitter verse.

The second reason why I prefer RSS is of course – availability. Some of the blogs do not have a very active Twitter account but almost every other website or forum has built in support for RSS feeds.

The Problem With RSS Feeds – Information Overload

When your reading list gets huge – keeping track of RSS feeds becomes extremely difficult, thanks to the overwhelming number of updates by blogs who post 20-30 updates every single day. If you are subscribed to popular tech blogs and news sources like Techcrunch, Mashable, Lifehacker, Techmeme, TechDirt; chances are that your RSS reader is going to flood with a large number of new articles every single hour.

You may ask a question – Why not unsubscribe from the sites who post a huge number of blog posts every single day ?

The answer is pretty straight forward. Unsubscribing is not a very good idea, because these blogs are the leaders in your niche and you can’t ignore them because they provide valuable and up to date information.

As of the time of writing this article, I am subscribed to more than 600 RSS feeds, apart from reading Google Alerts, Email newsletters, Google groups, forums etc. Managing this huge amount of information becomes impossible after a certain point of time.

The Idea of Filtering Keywords And Topics You Don’t Want to Read

On this tech blog, I don’t write anything about Mobiles and Gadgets like iPhone, iPod, Blackberry, Gaming devices, current mobile trends etc. There are a good number of blogs who publish a lot of mobile related content, in which I have very little interest.

I don’t want to remove the concerned RSS subscription(s) from my reading list, it’s just that I don’t want to read blog posts or updates about specific topics or niches. I love reading the sources, because they post interesting content otherwise.

In short, I would want to filter blog posts that contain specific keywords from Google Reader, FeedDemon – so that my reading list remains clean, clutter free and organized.

Yahoo Pipes ?

There are advanced tools like Yahoo Pipes which lets you set up custom rules, merge multiple RSS feeds and filter specific items from a group of RSS feeds. But using Yahoo pipes and managing the rules at a later point of time is not very easy. You have to spend a good amount of time learning how Yahoo Pipes actually work.

Here is an example usage of Yahoo Pipes, working with only 8 feeds:

The Watch Folder In Feeddemon

Feeddemon has an interesting “Watch” folder which can be used to filter RSS feeds containing specific keywords.

It works like this – you create a new watch and add up all the keywords you want to filter in the different watch folders. Here is an example watch from Feeddemon, which I use to clear away everything related to Gadgets and Gaming devices:

Every morning, when you are going to start scanning your RSS reader, first run those custom Watches and let Feeddemon aggregate all the blog posts that are related to a specific keyword. Next, choose” Mark All as Read” and it’s done.

Your reading list is cleared from ther unnecessary blog posts in which you have no interest at all.

A lot of unnecessary blog posts will be cleared from your reading queue so that you can focus on the main topics which you love to read and might want to blog about later.

This feature is yet to be incorporated in the web version of Google Reader. If anyone from the Google Reader team is listening, here is a personal message – “please allow advanced filtering tools so that we can quickly remove the unnecessary feed items and focus on the things that really matter.”

Using a Different RSS Reader – Use FeedRinse To Filter Specific Keywords

I assume you are using Google Reader or Feeddemon for reading RSS feeds. However, the following technique will continue to work with other online as well as desktop based RSS readers.

1. Export your RSS subscription list as an OPML file, go to Feedrinse.com and sign up for a free account. Feedrinse is a free service which lets you filter specific keywords from a single or group of RSS feeds, set up custom rules and do a lot of other interesting things related to RSS.

2. Import the OPML file in Feedrinse’s settings. You will see all the blog feeds listed one by one, as shown below:

3. Click the “Set Up Rules” button next to an RSS feed and start adding custom rules.

You can add all or any of the following rules:

Block Specific keywords: Separate each keyword with a comma. Any of the articles or blog posts that contain keywords mentioned in the “Block list”, will not appear in the filtered list.

Block Specific Authors: You may also choose to block specific authors from a news channel’s RSS feed, who publish more than 3 dozen articles every single day. Select the author option and specify his name in the “keywords” text field. I highly recommend using this option, if you are subscribed to a lot of Tech news channels who publish breaking stories.

To get more accurate results, choose “block the post” if the “Title” contains the specified keywords. Do not choose the “Post body” option, because this will start blocking each and every article that have the slightest mention of those keywords.

Once, you are done adding one or more custom filters to all or some of the RSS feeds, right click the RSS icon and copy the “Rinsed URL”.

Now subscribe to this feed in Google Reader, Bloglines, Newsgator, FeedDemon or any other RSS reader of your choice.

Example of A Keyword Filtered Feed Vs The Original Feed

For the sake of an example, let’s say you are subscribed to pcmag.com’s RSS feed and want to block all posts that mention about “HP” computers from appearing on your RSS reader.

Feedrinse’s Profanity filtering

The other advantage of using Feedrinse is it’s strong Profanity filter.

Whether you are working in a corporate environment or your computer is positioned close to the living room, the profanity filter will save your from those embarrassing moments. Offending words will be replaced with @$!, so that you don’t get caught reading offensive blog posts and articles in your feed reader. You can toggle the profanity filter from FeedRinse’s account settings.

Personal Verdict

I have been using FeedRinse combined with WorkFlowy to manage my Reading list for the last couple of weeks. I have cut down the amount of time spend reading a large number of blog posts every single day. Here is how my reading list looks

Some More Tips on Effective RSS Management:

1. Do not open the RSS reader the first thing in morning. The first couple of hours are good for writing, working on projects etc.

2. Organize feeds into different folders. Get rid of Alphabetical sorting and organize sources by priority and influence.

3. Create a “Most Important” folder all the way on top and drop all the RSS sources in that folder which you read frequently. When you don’t have enough time reading all the posts, quickly scan the “Most Important” folder and mark all other items as “Read”.

4. Start scanning the “Headlines” of your reading list in “Collapsed view”. Use keyboard shortcuts and practice speed reading

5. Frequently “Star” the items which you like but don’t have time to blog right now. You may refer to the starred items when you are facing a bloggers block, need to find post ideas and have nothing to blog about

6. Simply unsubscribe from sources whom you don’t enjoy reading. Overcome the “RSS Insanity”, subscribing to each and every website which you encounter and remove junk sources mercilessly.

RSS isn’t dead as of yet, so better organize your Feed reader.

Would love to hear your thoughts on the topic and what techniques you use to reduce RSS information overload.

A Complete Guide On Filtering RSS Feeds And Managing Information Overload In RSS Readers originally published on Ampercent

Shorten Links With Bit.ly While Sharing on Twitter from Feeddemon

Productivity

Feature

Feeddemon

Registry Hacks

Twitter

URL Shorteners

Here is a way out to auto-shorten links with Bit.ly, while sharing feed entries on Twitter from Feeddemon. Again, Twitter is a great way to share the same with the people over the web. Now, I can not think of a better tool than Feeddemon while reading feeds and sharing them at the same time.

Sometime back, I had detailed how I use Feeddemon as my Twitter desktop client. One thing I hated most while sharing stories from Feeddemon was that there were no built-in URL shortener. That meant longer URLs and either I had to compromise on the words to tell about the story or had to use a URL shortening service to shorten the links myself. That was tiring.

Well recently I had found out a way out to auto-shorten links with Bit.ly, while sharing feed entries on Twitter from Feeddemon. Here is how you can do it:

1. Sign up for a free account with Bit.ly or login to the service if you already have an account.

2. Now go to “Settings” and scroll down to the section “APIKey” and copy the API key to a newly opened notepad file. Leave the notepad file opened and (you may) sign out of your Bit.ly account.

3. Open Windows Registry editor and navigate to

HKEY_CURRENT_USER/Software/Bradbury/FeedDemon/1.0

4. Create a new String value by right clicking in the editing area and choosing New > String Value. Name the new entry BitlyLogin. Create another string value and name it BitlyApiKey.

5. Double-click the newly created entries one by one and enter the following values (without the angle brackets) as the value data,

For the key BitlyLogin enter <your_bitly_username>

For the key BitlyLogin enter <API_key_you_copied>

6. That’s it, start Feedemon and share anything and the links will get auto-shortened with Bit.ly.

I have always considered that it’s more productive way to combine two (major) tasks into one place. And using Feeddemon to tweet helps me read and share on the same place. With this simple hack the task of sharing has become easier. Thanks @WinObs for notifying and @nbradbury for elaborating the nice trick. Happy tweeting.

Shorten Links With Bit.ly While Sharing on Twitter from Feeddemon originally published on Ampercent

GrindStone Helps You To Keep Track Of Time Spent On Different Tasks

Software

Feature

Freeware

Productivity

Windows

Keeping track of time spent on various tasks is very important, because often times we get carried away from one task to another eventually messing the whole scenario and not completing any of the tasks at all. There are web based apps like WorkFlowy, Teux Deux, ThoughtBoxes and Google Tasks but if you are looking for a free Windows program for task management, try Grindstone.

GrindStone Helps You To Keep Track Of Time Spent On Different Tasks originally published on Ampercent

Keeping track of time spent on various tasks is very important, because often times we get carried away from one task to another eventually messing the whole scenario and not completing any of the tasks at all.

Folks who handle multiple tasks at a time, tend to lose track of how much time they are devoting for each work and forget that a work must be finished at a particular time. There are web based task management apps like WorkFlowy, Teux Deux, ThoughtBoxes and Google Tasks but if you are looking for a free Windows program for task management, try Grindstone.

Grindstone is a very handy tool to see, measure, record or set times for different tasks. This free application will let you create a list of tasks and an estimated time of completion or a due date. There is also an hourly charge rate for calculations, so you can track how much time you are spending on a particular task or project.

It can be found on the desktop as a small floating widget from where we can pause, resume or switch over from one task to the other. If you are likely to spend a good amount of time on a particular task, you may activate an “egg timer” which is useful for keeping track of time spend on tasks from desktop.

How Can Grindstone Help You:

Task management program: All of us have different ways of managing the same set of tasks. So it is most convenient if we are allowed to design our own methodologies of getting things done. Here we can customize fields of tasks or create different views like tasks that are due, or tasks grouped by due date etc.

Stop watch tool: It is a small wedge that hovers on the desktop and helps us to pause and start any task quickly or switch tasks via a drop down menu.

Away detection: It starts away detection after a user defined time interval. Grindstone will ask about the time spent, allowing you to allocate it to anyone of its predefined tasks if applicable. This feature makes this application useful for measuring non-computer based tasks.

Egg timer: It is a very good tool when it comes to gauging certain time spans. It helps us to allocate time for various tasks in order and help us remind ourselves of the precise amount of time spend. (also read: online alarm clocks timers and stopwatch websites)

Reminders: It’s a nice when we are reminded of the time if one task has exceeded the initial estimation of time. It is up to the user to set this certain time interval. It also has a so-called “work a holic deterrent” option that reminds the user that he has exceeded the amount of time that he had intended to work for that day.

Multiple profile creation: This feature enables users to create multiple profiles and have different defined hourly charges and even different columns or fields defined for each different profile. It is also possible to move tasks or histories across different profiles.

Travel Installation: A portable installation can be done via the Grindstone interface and can be carried on the way.
